Value Added Tax (VAT) has been part of doing business in the UAE since 1 January 2018. At a standard rate of 5%, it can look simple, but managing VAT correctly depends on one thing above all: accurate, well-organized bookkeeping. This guide explains what VAT bookkeeping involves, what the Federal Tax Authority (FTA) expects and how to keep your business compliant.
Do You Need to Register for VAT?
- Mandatory registration: required if your taxable supplies and imports exceeded AED 375,000 in the past 12 months, or are expected to exceed it in the next 30 days.
- Voluntary registration: available if your taxable supplies, imports or expenses exceed AED 187,500.
Once registered, you receive a Tax Registration Number (TRN), which must appear on your tax invoices and VAT returns.
What Is VAT Bookkeeping?
VAT bookkeeping is the day-to-day recording of your sales, purchases and the VAT charged or paid on each transaction. Good records let you calculate how much VAT you owe (output VAT) and how much you can recover (input VAT), and prove your figures if the FTA asks.
Records You Need to Keep
- Tax invoices and tax credit notes, issued and received
- Import and export documents
- Records of goods and services supplied and received
- Records of any adjustments or corrections
- Your general ledger, bank statements and supporting accounting records
Records must generally be kept for at least five years from the end of the tax period they relate to, and longer for some transactions, such as those involving real estate.
Getting Tax Invoices Right
A valid tax invoice must include, among other details, the words “Tax Invoice”, your name, address and TRN, the customer’s details, a unique invoice number, the date, a description of the goods or services, the VAT rate and amount, and the total payable in AED. Missing details can stop your customers from recovering input VAT and may lead to penalties.
Filing VAT Returns
Most businesses file VAT returns quarterly, while some are assigned monthly tax periods. Returns are submitted through the FTA’s EmaraTax portal and are due, together with any VAT payable, within 28 days of the end of each tax period. Reconciling your books with your VAT return every period is the best way to avoid errors.
Common VAT Bookkeeping Mistakes
- Claiming input VAT without a valid tax invoice
- Recording transactions in the wrong tax period
- Applying the wrong VAT treatment to zero-rated or exempt supplies
- Not reconciling bank, sales and purchase records before filing
- Missing registration or filing deadlines
Late registration, late filing and incorrect returns can all attract administrative penalties from the FTA, so getting the basics right matters.
VAT, Corporate Tax and E-Invoicing
Clean VAT records also support your other obligations. UAE Corporate Tax applies at 9% on taxable income above AED 375,000, and the UAE is introducing mandatory e-invoicing in phases. Accurate, structured bookkeeping makes all of these easier to manage.
